At ChiroHouse, your privacy matters. We’re committed to handling your personal information with care, integrity, and transparency. This privacy policy outlines how we collect, use, and safeguard the personal information entrusted to us in the course of delivering chiropractic care and related services.

What is Personal Information?

“Personal information” refers to any details that identify you as an individual. This includes personal characteristics (like your name, age, gender, or contact details), health information (such as your health history, current conditions, or care plans), and personal opinions or beliefs. This differs from business contact information, which is not protected under privacy legislation.

Who We Are

ChiroHouse is a chiropractic clinic focused on providing high-quality, patient-centered care. Our team includes licensed chiropractors and chiropractic assistants. On occasion, we may work with trusted third-party providers—such as IT consultants, accountants, bookkeepers, cleaning staff, and temporary coverage personnel—who may have limited access to personal information in the course of their duties.

Whenever possible, we limit this access and ensure that all third parties are aware of and comply with privacy protection principles consistent with our own.

Collection of Personal Information: Related and Secondary Purposes

At ChiroHouse, the primary reason we collect personal information is to provide you with high-quality chiropractic care. However, like most healthcare providers, there are related and secondary purposes for which we may collect, use, or disclose your information. These purposes help support the smooth operation, regulatory compliance, and ongoing quality of our clinic.

Here are some common examples of related or secondary purposes:

  • Administrative and Financial Functions
    To invoice for services not paid for at the time of your visit, process credit card transactions, or collect on outstanding accounts.

  • Ongoing Care and Follow-Up
    To contact you when we believe your care may require follow-up or reassessment, ensuring your treatment continues to meet your needs.

  • Clinic Events and Educational Opportunities
    To inform you about upcoming workshops, community events, or new services that may support your health and wellness. You may opt out of these communications at any time.

  • Internal Quality Assurance
    Our team periodically reviews client files to ensure that we are delivering the best possible care. This may include performance evaluations and training for our team. We may also involve trusted external consultants (e.g., auditors, legal professionals, or quality assurance advisors) to assist with these reviews under strict confidentiality agreements.

  • Professional and Legal Obligations
    As regulated health professionals under the College of Chiropractors of Ontario (CCO), we are subject to routine audits and inspections, which may include access to client records. We are also obligated to report any serious misconduct, incompetence, or incapacity among health professionals, as well as serious illegal activity. In such cases, limited personal information may be shared with the appropriate authorities, who are also bound by privacy laws.

  • Government and Third-Party Funding Agencies
    If your chiropractic care is covered by third parties (e.g., WSIB, private insurance plans), we may be required—by law or with your consent—to share certain information to verify claims and process payments.

  • Retention of Records
    The CCO requires us to retain client records for a minimum of ten years after your last visit, or ten years after a minor turns 18. This ensures continuity of care and allows us to respond to any future questions or concerns about your treatment history.

  • Sale or Transition of the Clinic
    If ChiroHouse or its assets were ever to be sold, potential buyers may need limited access to client records as part of a due diligence process. This access would be tightly controlled, and no records would be copied or removed. The purchaser would be required to sign a confidentiality agreement and could only use the information to evaluate the clinic as part of the transaction.

College of Chiropractors of Ontario

The policy is made under the Personal Information Protection and Electronic Documents Act (PIPEDA). That is a complex act and provides some additional exceptions to the privacy principles that are too detailed to set out here. There are some rare exceptions to the commitments set out above.

For more general inquiries, the information and Policy Commissioner of Canada oversees the administration of the privacy legislation in the private sector. The Commissioner also acts as a kind of ombudsman for privacy disputes. The Information and Privacy Commissioner can be reached at:
